# Adjust flexitime balance/time bank

You can adjust the flexitime balance/time bank by adding an extra time category to an existing time registration, or by creating a new time registration with the same start and end times.

## What is the adjustment of flexitime balance/time bank used for?

Adjustment of **flexitime balance** or **time bank** is used when you need to correct an employee's balance.

This may be relevant, for example, if you need to:

- add hours to flexitime or time bank
- deduct hours from flexitime or time bank
- correct a previous error
- make a manual adjustment that should not be automatically calculated from working hours

The name of the time category that adjusts the balance may vary from company to company.

Examples of names could be:

- **Flexitime adjustment** (Justering flekstid)
- **Adjust balance minus** (Justere saldo minus)
- **Adjust balance plus** (Justere saldo pluss)

## Two ways to adjust flexitime balance/time bank

You can adjust the balance in two ways:

1. Add an extra time category to an existing time registration
2. Create a new time registration and add the time category afterwards

### Option 1: Add time category to an existing registration

If there is already a time registration for the relevant date, you can add the time category for adjustment to this registration.

Here's how to do it:

1. Go to **Hours.**
2. Find the employee and date to be adjusted.
3. Open the relevant time registration.
4. Click **Create new.**
5. Select the time category used for adjusting flextime or time bank.
6. Enter the number of hours to be adjusted.
7. Click **Save.**

It is useful to add a comment so that it is clear why the balance has been adjusted.

### Option 2: Create a new registration for the adjustment

You can also create a new time registration solely for the adjustment.

This is useful if you do not want to add the adjustment to an existing registration.

Here's how to do it:

1. Go to **Hours.**
2. Create a new registration for the relevant employee.
3. Select date.
4. Fill in time, for example **00:00-00:00.**
5. Fill in other necessary fields.
6. Click **Save.**

It is important that the times do not conflict with other time registrations on the same day.

Therefore, 00:00-00:00 is often a good choice. This gives the registration the same start and end time, and it usually does not conflict with ordinary working hours.

#### Add the time category for adjustment

Once the registration is saved, add the correct time category.

Here's how to do it:

1. Open the relevant time registration.
2. Click **Create new.**
3. Select the time category used for adjusting flextime or time bank.
4. Enter the number of hours to add or deduct.
5. Click **Save.**

The name of the time category varies from solution to solution. If you are unsure which time category to use, you should check internally with a superuser, payroll, or system administrator.

## How to enter hours for plus and minus adjustments

How you enter the hours depends on how the time categories are set up in your system.

### If you have one time category for adjustment

If you have one common time category for adjusting flexitime or time bank, you use a sign to control whether the balance should be increased or decreased.

Example:

| Desired adjustment | How you write it |
| --- | --- |
| Add 5 hours | `5` |
| Subtract 5 hours | `-5` |

If you need to deduct flexitime or time bank hours, add a minus sign before the number.

### If you have one time category for plus and one for minus

If you have two time categories, one for plus and one for minus, you should usually not use a sign.

Instead, select the correct time category and enter the number of hours as a positive number.

Example:

| Desired adjustment | Time category | Hours |
| --- | --- | --- |
| Add 5 hours | Adjust balance plus | `5` |
| Subtract 5 hours | Adjust balance minus | `5` |

In this case, it is the time category that determines whether the balance is increased or decreased.

## What happens when you save?

When you save the adjustment, the employee's **flexitime balance**, or **time bank**, is updated based on the time category and the number of hours you have entered.

If the time category is set up for plus, the balance increases.

If the time category is set up for minus, the balance decreases.

If you use one common time category, the sign determines whether the balance increases or decreases.

## Why is the registration shown as empty?

When you save a registration with the same start and end time, for example **00:00–00:00**, it is displayed as an empty registration without calculated hours.

This is expected.

The registration has no calculated hours because there is no time interval to be calculated. You must therefore manually add the time category that will adjust the flexitime balance or time bank.

## Frequently Asked Questions

**How do you adjust the flexitime balance in Capitech Flow?**

You adjust the flexitime balance by opening a time registration in Hours and adding a time category that adjusts flexitime or time bank. You can use an existing registration or create a new registration.

**Can you create a separate registration for adjusting the time bank?**

Yes. You can create a new time registration, for example with the time 00:00-00:00, and then add the time category that adjusts the time bank.

**Why does the registration get 0 hours?**

If the registration has the same start and end time, for example 00:00-00:00, no hours will be calculated. You must then add the time category and the number of hours manually.

**Should you use a minus sign when deducting flexitime?**

It depends on your setup. If you have one common time category for adjustment, you use a minus sign to deduct hours. If you have separate time categories for plus and minus, you select the correct time category and enter the hours without a sign.

**What is the name of the time category for adjusting flexitime?**

The name varies from company to company. For example, it could be called Flexitime Adjustment, Adjust Balance Minus, or Adjust Balance Plus.

**What do you do if you are unsure which time category to use?**

First, check with your superuser, payroll, or system administrator. Time categories may be set up differently from company to company.
