# Create a shift rotation

You create a shift rotation in Capitech Flow by going to Plan > Shift rotations, clicking the plus sign, giving the shift rotation a clear description, and choosing how many weeks the shift rotation should have. Afterwards, you add employees, duties, and any dimensions such as department and project.

## What is a shift rotation used for?

A shift rotation is a template for planned shifts that can repeat over several weeks. When the shift rotation is ready, it can be put into operation so the shifts are added to the operational plan.

This is useful when you have fixed shifts, work schedules, or rotations that should repeat.

## How to create a shift rotation

1. Go to **Plan** in the main menu.
2. Select **Shift rotations**.
3. Click the plus sign in the upper left of the shift rotation view.
4. Enter a clear description.
5. Select how many weeks the shift rotation should consist of.
6. Save the shift rotation.

Use a description that makes it easy to find the shift rotation again later. For example, you can include the name of the department, work schedule, period, or type of plan.

You can change both the name and the number of weeks afterwards.

## How to open the shift rotation

When the shift rotation has been created:

1. Find the shift rotation in the list.
2. Click the description, in green writing, to open the shift rotation.

You are then taken to the editing view for the selected shift rotation.

In the shift rotation, you can add employees, shifts, and other settings.

## Add employees in employee view

In employee perspective, you build the shift rotation based on employees.

How to add employees:

1. Select Add employee.
2. Use department to filter the list if you have many employees.
3. Search by name to find the right employee.
4. Select one or more employees.
5. Click Select, in green writing, to prepare the employees you want to add.
6. Click Add employees when you are finished.

You can add more employees later if needed.

## Add a shift for an employee

When employees have been added to the shift rotation, you can add shifts.

Here's how to do it:

1. Click on the day the employee is scheduled for a shift.
2. Search for the shift by typing part of the shift name or time.
3. Select the correct shift.
4. Add other dimensions as needed, for example:
5. - department
    - project
    - other relevant dimensions
6. Click **Add shift**

## Use the shift button to find shifts

You can also click the green **shift button** to see a list of available shifts.

There you can:

- see all available shifts
- search for the correct shifts
- select the shift you want to add

This can be useful if you don't remember the exact name or time of the shift.

## Copy and paste shifts

You can copy shifts that have already been added to the shift rotation.

This is useful if the same shif should be used on several days or for several employees.

You can:

- copy one shift
- paste the shift on another day
- paste the shift on another employee
- change the shift after it has been pasted

This saves time when several employees or days should have the same type of shift.

### Copy all shifts from one employee to another

If one employee should work the same way as another, you can copy all shifts from one employee and paste them onto another employee.

This is useful when several employees follow the same work schedule or the same working pattern.

Here's how to do it:

1. Open the shift rotation.
2. Click the name of the employee who already has the shifts added.
3. Select **Copy X shifts** for that employee.
4. Click the name of the employee who should have the same shifts.
5. Select **Paste X shifts** for that employee.

Afterwards, you can adjust individual shifts if needed.

### Paste with offset

Sometimes an employee should have the same shift pattern as another employee, but with a weekly offset.

Example:
In a 3-week shift rotation, one employee may have shifts in this order:

**Week 1, Week 2, Week 3**

Another employee may need the same pattern, but offset by one week:

**Week 3, Week 1, Week 2**

Then you can use **paste with offset**

This makes it easier to build rotations where employees follow the same pattern, but start in different weeks.

### Paste with selected offset

If you want a different offset than the standard offset, you can use **Paste with choice of week offset**

You can then choose between several offset options. You also see how the weeks will be pasted before you complete the action.

This is useful when you work with shift rotations over several weeks and employees should have the same rotation pattern, but different start weeks.

## Delete all shifts for an employee

You can delete all shifts for an employee from the shift rotation.

Here's how to do it:

1. Click the employee’s name in the shift rotation.
2. Select the function for deleting or removing all shifts.
3. Confirm the deletion if you are asked to do so.

This removes the shifts from the employee in the shift rotation.

## Delete an employee from the shift rotation

You can delete an employee from the shift rotation, but all shifts for the employee must be deleted first.

Here's how to do it:

1. Click the employee's name.
2. Delete all shifts for the employee.
3. Click on the employee's name again.
4. Select the function to remove employee from the shift rotation.

The employee is then removed from the shift rotation.

## Change the number of weeks in the shift rotation

You can change the number of weeks in the shift rotation after it has been created.

Click the plus or minus sign at the top left to add or remove the number of weeks you want.

This may be relevant if you see that the shift rotation should have been shorter or longer.

Important:

If you shorten the shift rotation, the shifts from the weeks you remove will disappear.

Example:

If the shift rotation changes from 4 weeks to 3 weeks, the shifts that were in week 4 are removed.

## Add shifts without employees in shift perspective

In shift perspective, you can build the shift rotation based on shifts instead of employees.

This is used when you want to add shifts without linking them to specific employees right away.

Here's how to do it:

1. Switch to shift perspective, by pressing the icon in the far upper right corner of your screen.
2. Find the shift you want to add.
3. Click the day where the shift should be added.
4. Add one or more shifts with the same type and settings.
5. Save the shifts.

You can then:

- assign the shifts directly in the shift rotation
- wait to assign the shifts until after the shift rotation has been rolled out to the operational plan

This is useful if you first want to plan the need for shifts , and then decide which employees should cover them.

## Employee perspective or shift perspective?

| Perspective | Used when |
| --- | --- |
| **Employee perspective** | You want to plan shifts directly for employees. |
| **Shift perspective** | You want to plan shifts first and assign employees later if needed. |

Employee perspective is often best when you know who should work.

Shift perspective is often best when you first want to plan the staffing need.

## Important to remember

- Give the shift rotation a clear description.
- Select the correct number of weeks before you build the full plan.
- Use copying to save time.
- Use offset when employees follow the same rotation with different start weeks.
- Delete shifts before you delete an employee from the shift rotation.
- Be careful when shortening a shift rotation, because shifts in removed weeks disappear.
- Use shift perspective if you want to add shifts without employees.
