# How do rounding and date changes work in time calculations?

Capitech can adjust the number of hours, clock-in and clock-out times, and the date to which hours are assigned. If you use the Planning module, calculations can also be based on the shift’s start and end times. This makes it easier to handle registrations before or after actual working hours and during night work.

## What does this cover?

Capitech provides several ways to control how registered hours are interpreted before they are calculated.

These settings can be used to:

- round the number of hours
- adjust clock-in and clock-out times within specific periods
- base calculations on a scheduled shift
- assign hours to the correct date when work continues past midnight

These settings are important because they affect how hours, compensation, and overtime are calculated.

## What does rounding the number of hours mean?

Rounding the number of hours means that calculated time is not necessarily counted minute by minute.

A common example is calculating time to the **nearest 15 minutes** instead of using the exact number of minutes.

This is often used to make calculations better reflect your organization’s practices.

## What does adjusting times mean?

Adjusting times means that registered clock-in and clock-out times can be moved according to fixed rules.

For example, registrations between **06:00 and 07:30** may be configured so that no time is calculated before **07:30**, even if the employee clocks in earlier.

This is often used when employees need to clock in before work actually starts without that time being included in their calculated hours.

## What can you do with the Planning module?

If you use the **Planning module**, you have more options for basing calculations on the **shift’s start and end times**.

For example, the settings can specify that:

- time should only be calculated **within the shift**
- time within a defined period before or after the **shift should not be calculated**
- registrations should be assessed relative to the scheduled shift rather than only according to fixed times

A typical example is excluding **15 minutes before and after a shift** from the calculation, as long as the registration falls within these limits.

This makes it easier to handle situations where employees need to arrive and clock in before their work actually starts.

## How does date change work?

Date change determines which date hours are assigned to.

This is particularly important for:

- night work
- shifts that continue past midnight
- settings where registrations should follow the shift rather than only the calendar date

If you use the **Planning module**, date change can be configured according to the **shift**. The relevant time periods are then defined so that Capitech handles the transition between calendar days more effectively.

In practice, this is a technical setting that helps Capitech work correctly for night work. Employees will usually only notice that their registrations are assigned to the correct date and that the calculations work as expected.

## When is this relevant to you?

This article is relevant if you:

- want to round time to the nearest 15 minutes or use another fixed rounding interval
- want to prevent time before work actually starts from being calculated
- use the Planning module and want to base calculations on shifts
- have night work or work that continues past midnight
- find that hours are assigned to the wrong date or calculated incorrectly

## How to get started

If you want to change rounding, time adjustments, or date change, we recommend submitting a support request to [support@capitech.no](mailto:support@capitech.no).

Describe:

- what you want to achieve
- whether the change applies to everyone or specific employee groups
- whether you use the Planning module
- which times or shifts are affected
- how the calculation works today
- how you want the calculation to work

## Important information

Small changes to rounding, time adjustments, or date change can have a significant effect on time calculations.

They may affect:

- calculated hours
- overtime
- compensation
- the payroll basis
- reporting

We therefore recommend that you always confirm these changes with us before any adjustments are made.

## Frequently asked questions

**Can Capitech round hours to the nearest 15 minutes?**

Yes. Capitech can be configured to round the number of hours, for example to the nearest 15 minutes.

**Can clock-in and clock-out times be adjusted automatically?**

Yes. Times can be adjusted according to fixed rules within specific periods.

**Can the Planning module base calculations on a** **shift****?**

Yes. If you use the Planning module, calculations can be based on the shift’s start and end times.

**Can we prevent time before a** **shift** **starts from being calculated?**

Yes. Limits can be configured before and after a shift so that this time is not included in the calculated hours.

**How are night work and the transition between calendar days handled?**

This can be controlled through date change. With the Planning module, date change can also be configured according to the shift.
