# Filter time registrations

In Hours, you can create your own filters to find registrations faster.

This is useful if you often use the same searches, for example for specific:

- employees
- departments
- projects
- other dimensions

For example, if a top manager only needs to approve payroll for middle managers, it may be useful to separate these by creating a custom filter.

## Create a filter

You can create a new filter from the filter button on the far right in **Hours**.

Here's how:

1. Go to **Hours**.
2. Click **Create new filter** to the right of the approval button.
3. Select what you want to filter by. For instance, three different projects.
4. Select the values you want in the columns shown.
5. Give the filter a suitable name and select an icon.
6. Click **Save**.

## Activate a filter

When the filter is saved, the icon is shown in the left margin in the Hours module.

Click the filter in the left, red, margin to activate it. When the filter is active, it is highlighted with a black background, and you only see registrations that match the filter.

## Turn off a filter

To deactivate the filter, click the clock icon in the upper left corner.

The filter is then turned off, and all registrations you have access to are shown again.

## Change or delete a filter

If you want to change a filter, do the following:

1. Select the filter you want to change.
2. Click the pencil icon to the right of the filter name.
3. Make the desired changes.
4. Save again.

When you open the filter for editing, you can also delete the entire filter if it should no longer be used.

## Filter for employees you manage

You can create a filter that automatically shows employees you are registered as the manager for.

This makes it easier to follow up your own employees across **Dashboard**, **Hours**, **Absence**, and **Operational Plan**.

Here's how to do it:

1. Click the icon to create a filter.
2. Go to the **Employee** dropdown menu.
3. Tick **Direct reports**.
4. Save the filter with your desired name.

### This must be set up first

For the **Direct reports** filter to work, the following must be in place:

- the **Assign manager** function must be enabled in **Admin > Client settings > Dimensions**
- the immediate manager must be registered for the relevant employees in the employee register

## Good to know

The user who will use the filters must have access to the relevant departments where hours are registered. This access is set by a superuser in **Flow Admin**.

## Are employees missing from your view in Flow?

If you cannot find an employee in the view, this may be because you have an active filter where the employee is not included.

To check this, you can turn off the filter by clicking the clock icon in the left margin. If the employee then appears, you should add them to the filter you normally use.

If you still cannot find the employee, it may be because they have registered hours on a department you do not have access to as a manager.

Contact a superuser if you need help with access control or changing the department on the registrations.
