# Missing attendance in Flow

**Missing attendance** shows employees who should have been at work, but have not registered hours or absence.

This makes it easier for you as a manager to follow up on employees who are missing registrations.

## Where do you see missing attendance?

You can see missing attendance in several places in Flow:

- in **the calendar** on **Dashboard**
- in the widget **Not Shown up** on Dashboard.
- in **Hours**, when the view is filtered by missing attendance

In the calendar, this is shown with the icon of a dotted person figure. If you click on the icon, **Hours** will open with filtering for missing attendance, where the manager gets a more detailed overview.

## Register hours for an employee with missing attendance

To find employees with missing attendance, either go via the shortcuts on Dashboard, or open **Hours** and filter by missing attendance there.

Click the three dots to the left of a registration, and then the plus sign to add hours for the employee.

A window will open with the option to edit, where suggestions including planned working hours and department, will be pre-filled.

## What does missing attendance mean?

Missing attendance means that the system has determined that the employee was expected to be at work on the relevant day, but that there is no:

- registered hours
- registered absence

## How is missing attendance calculated?

The system determines if an employee should have been at work based on these sources, in prioritized order:

1. Scheduled shifts, if the employee is active in plan
2. Working time agreement for employee (Classic Time only)
3. Specified start and end times for employee group
4. Client settings for absence

The calculation is performed per day, and the system follows this order.

## Why is this useful?

The missing attendance overview helps you to:

- detect missing time registrations
- follow up employees faster
- ensure correct basis for payroll and reporting
- reduce the need for manual checks afterwards

## How to remove an employee from missing attendance?

If some employees work as substitutes and are not normally expected to be at work every day, you can exclude them from the Missing Attendance view.

Here's how to do it:

1. Go to Admin - Employee - Employee Groups.
2. Click the name of the relevant employee group.
3. Check the box for "On-call (No missing attendance)".
4. Click Save.

Employees in this employee group will then no longer be shown under Missing Attendance.

## Important to know

Missing attendance does not necessarily mean that an employee has actually been absent from work. It means that registered hours or absence are missing, even though the system expects the employee to have been at work.

As soon as hours or absence are registered for the employee, the missing attendance note will be removed.
