# Flexitime balance limits

Flexitime balance limits determine how much of an employee’s flexitime balance can be transferred when a flexitime period is closed. For example, you can set a limit that allows employees to transfer a maximum of 40 hours to the next flexitime period.

## What is a flexitime balance limit?

A **flexitime balance limit** is a setting that controls what happens to employees’ flexitime balances when a flexitime period is closed.

The balance limit can be used to determine:

- how many hours can be transferred to the next flexitime period
- whether excess hours are deleted

For example, employees may be allowed to transfer up to 40 hours of flexitime to the next period, while any hours above 40 are deleted.

## Where can you find flexitime balance limits?

Go to **Admin - Flexitime - Flexitime balance limit**.

Here, you can see the existing balance limits and their numbers and names.

To view the details of a balance limit, click the **down arrow** next to its number. The view expands to show the rules configured for the balance limit.

## Create new flexitime balance limit

To create a new balance limit:

1. Go to **Admin - Flexitime - Flexitime balance limit**.
2. Click the **plus sign** in the upper-left corner.
3. Enter the required **number**.
4. Enter a **name** for the balance limit.
5. Click **Save**.
6. Click the **down arrow** next to the number to expand the view.
7. Add or change the rules for the balance limit.
8. Click **Save**.

#### Example of a balance limit

You can configure a rule that allows employees to keep up to 40 hours of flexitime.

| Field | Meaning |
| --- | --- |
| **Balance type** | Which balance the rule applies to, for example, flexitime balance type 1 |
| **Lower balance** | Balance that is below the given limit. |
| **Upper balance** | Balance that exceeds the given limit. |
| **Action** | What happens to the hours, for example, whether the excess balance is deleted. |

## Assign a balance limit to employees

For a flexitime balance limit to apply, you must also assign it to the relevant employees.

Here's how to do it:

1. Go to **Admin - Employee - Employee.**
2. Click the relevant employee.
3. Open the **Time** tab.
4. Find the **Account limit for flexitime agreement** field.
5. Select the balance limit that should apply to the employee.
6. Click **Save** in the lower-left corner.

The balance limit will then apply to the employee when the flexitime period is closed.

## When is the balance limit applied?

The balance limit is applied when a flexitime period is closed.

This means that the rules only take effect when the period is closed. If an employee has a higher balance than they are allowed to transfer, the system handles the balance according to the rules in the balance limit settings.
