# Edit and correct absence registrations

You can change an absence registration from Absence in Capitech Flow by finding the correct absence line and pressing Edit. In the edit screen, you can change absence code, department, date, time, hours, and details per day.

## When do you use this function?

You use this function when a registered absence needs to be corrected or updated.

For example, it may be if:

- the absence is registered with the wrong absence code
- the absence is registered to the wrong department
- the absence applies to the wrong date or period
- the number of hours needs to be corrected
- the absence needs to be changed from a full day to part of a day
- partial sick leave needs to be adjusted
- individual days in the absence period need to be removed

## How to edit an absence registration

1. Go to **Absence** in Capitech Flow.
2. Find the absence registration you want to edit.
3. Click **Edit** on the relevant line. This will open the edit view for the absence.
4. Make the necessary changes.
5. Check the absence details.
6. Click **Save**.

## What can you change?

In the edit screen, you can change the information registered for the absence.

You can, among other things, change:

- **absence code**
- **department**
- **from and to date**
- **duration of absence**
- **time**
- **number of absence hours**
- **absence percentage**
- **details per day**
- **calculated hours**
- **paid hours**

## Correct hours for partial sick leave

For **partial sick leave**, the absence hours must match how much the employee has actually worked.

You must verify that:

- the number of absence hours per day is correct
- registered working hours and absence combined give the correct total
- the absence percentage matches the sick leave
- the details per day are correct

This is important so the absence is correct in the basis for payroll, absence overview, and reporting.

## Correct paid absence

For **paid absence**, you must correct both:

- **calculated**
- **paid**

This applies when both calculated absence time and paid absence time need to be adjusted.

## Delete individual days in an absence period

You can delete individual days from the absence if certain days should not be included in the period.

This may be relevant if the absence was originally registered over several days, but one or more of the days should not be included after all.

## Change absence from full day to part of day

If an absence is registered as a full day, but actually only applies to a few hours, you can change the absence to short-term absence or part of a day.

Here's how to do it:

1. Open the absence with **Edit.**
2. Change absence code if necessary, and tick of **Part of day**.
3. Enter the correct time.
4. Check the number of hours.
5. Check the details per day.
6. Press Save.

When you change the time or hours, detailed information about the absence is also updated.
