# Prerequisites and priority for absence calculation rules

Prerequisites determine when an absence calculation rule is used. This overview shows all conditions across your calculation rules and the order in which they are processed.

## What are prerequisites?

Prerequisites are criteria that must be met for a calculation rule to be used.

A condition can apply to:

- a specific employee
- an employee group
- a department
- an absence code
- a duty type
- a combination of several criteria

If the prerequisite matches the absence being registered, the system uses the calculation rule associated with that prerequisite.

You can find an overview of your prerequisites under **Admin - Absence - Calculation - Calculation rule conditions**.

## What does the overview show?

The overview shows all conditions created for absence calculation rules.

Here you can see:

- which calculation rule the condition belongs to
- which employees, employee groups, or departments the condition applies to
- the priority of the condition
- the order in which the conditions are processed

## How does priority work?

When calculating absence, the system processes the prerequisites in priority order.

The system starts at the top of the list and checks each prerequisite in turn.

- If the prerequisite matches, the associated calculation rule is used.
- If the prerequisite does not match, the system continues to the next row.
- The first matching prerequisite determines which calculation rule is used.

This means that the order is important.

## Change the prioritization

If a prerequisite or calculation rule should be processed earlier or later, enter a value in the **Prioritazion** field for the relevant condition.

Use prioritization when several rules could apply to the same absence.

Example:

An employee may belong to both a department and an employee group. If you have one rule for the department and another for the employee group, you must decide which rule should have the highest priority.

#### Prioritazion example

You have the following calculation rules:

| Rule | Condition | Normal working hours |
| --- | --- | --- |
| Rule 1 | Department: Store | 09:00–17:00 |
| Rule 2 | Employee group: Part-time | 16:00–21:00 |

If an employee belongs to both the department **Store** and the employee group **Part-time**, both rules may apply.

Then the system will use the rule that comes first in the prioritization.
