# Shift rotations

A shift rotation in Capitech Flow is a template for planned shifts that repeat in fixed cycles. Shift rotations are used to create recurring shifts in the operational plan, so you don't have to enter each shift manually.

## What is a shift rotation?

A shift rotation is a plan template used to create shifts that repeat over time.

For example, you can create a 3-week shift rotation. When the shift rotation is put into operation for a selected period, the shifts are added to the operational plan with the same cycle as the shift rotation.

If the shift rotation lasts for 3 weeks, the weeks repeat like this:

| Period in operational plan | Week from the shift rotations |
| --- | --- |
| Week 1 | Week 1 |
| Week 2 | Week 2 |
| Week 3 | Week 3 |
| Week 4 | Week 1 |
| Week 5 | Week 2 |
| Week 6 | Week 3 |
| Week 7 | Week 1 |

If you put a 3-week shift rotation into operation for 7 weeks, the order will be: 1, 2, 3, 1, 2, 3, 1.

## When should you use shift rotations?

You should use shift rotations when you have shifts or work schedules that repeat.

Shift rotations are useful when you have:

- fixed work schedules
- shifts that repeat over several weeks
- employees who work in rotation
- fixed working hours over a period
- a need to plan many shifts efficiently

Shift rotations make it easier to build the operational plan without adding every shift manually.

## What happens when a shift rotation is put into operation?

When you put a shift rotation into operation, the shifts from the shift rotation are added to the operational plan.

You choose the period the shift rotation should apply to. If the period is longer than the shift rotation itself, the weeks in the shift rotation repeat until the end date you have selected.

This means you can create one plan template and use it over a longer period.

## Example of a shift rotation

If all employees have the same shift pattern every week, you can create a 1-week shift rotation.

This can be put into operation for the period you want, for example several months ahead. The same week is then repeated in the operational plan throughout the entire period.

If the shift pattern repeats every third week, you can create a 3-week shift rotation and put it into operation for the period the work schedule should apply to.

## Filters and search in shift rotations

In the list of shift rotations, only active shift rotations are shown by default.

To see both active and inactive shift rotations, click **All**, instead of Active, above the list.

You can filter basic plans by:

- department
- project
- employee
- employee group

This makes it easier to find the correct shift rotation if you have many shift rotations in Capitech Flow.

## How to set a shift rotation as inactive

You can set a shift rotation as passive if it should no longer be displayed as active.

Here's how to do it:

1. Go to Plan.
2. Find the shift rotation in the list.
3. Click the three dots to the left of the shift rotation.
4. Click the pencil icon, on top of the screen, to edit.
5. Remove the checkmark for Active.
6. Press OK to save the change.

The shift rotation then becomes inactive, but can still be shown if you select **All**, instead of Active, on top of the list of shift rotations.

## Can you have several shift rotations?

Yes. You can create and put into operation as many shift rotations as you need.

This can be useful if you have different work schedules, departments, projects, or employee groups that need their own plan templates.

## Tips for using shift rotations

If all weeks are the same, you can create a 1-week shift rotation.

If the shift pattern runs over several weeks, the shift rotation should have the same length as the cycle. For example, a work schedule that repeats every third week should be added as a 3-week shift rotation.

## Frequently asked questions

**What is a shift rotation in Capitech Flow?**

A shift rotation is a template for planned shifts that repeat in cycles. It is used to add shifts to the operational plan.

**What are shift rotations used for?**

Shift rotations are used to create recurring shifts efficiently, so you do not have to register each shift manually in the operational plan.

**What does it mean to make a shift rotation operational?**

Putting a shift rotation into operation means that the shifts from the shift rotation are added to the operational plan for the selected period.

**What happens if the period is longer than the shift rotation?**

If the period is longer than the shift rotation, the weeks in the shift rotation repeat until the end date you have selected.

**Can you create a 1-week shift rotation?**

Yes. If all weeks are the same, you can create a 1-week shift rotation and put it into operation for the period you want.

**Can you have several shift rotations?**

Yes. You can create several shift rotations if you need different work schedules, departments, projects, or employee groups.

**Why do you only see some shift rotations in the list?**

Only active shift rotations are shown by default. Click **All** to see both active and inactive shift rotations.

If you still cannot see a shift rotation in your view, one or more employees in the shift rotation may have a department, or another dimension, that is not included in the access control settings for your user.
