# Absence warning settings and custom warnings

In Warning settings, you can view, enable, and disable built-in absence warnings in Capitech Flow. You can also create custom absence warnings, for example, if your organization has internal guidelines for specific absence codes. Alerts may appear when absence exceeds standard thresholds or should be reviewed before it is saved or approved.

## Where do you find Warning settings?

You can find the settings here:

**Admin - Absence - Warnings**

## What are warnings used for?

Warnings help you identify absence that should be reviewed before it is saved or approved.

They may appear when you:

- register absence
- approve an absence request
- change an absence entry

This can be useful if the absence exceeds standard thresholds or if your organization has internal guidelines for specific types of absence.

## How to change standard warnings

Standard warnings are built-in warnings that can be enabled or disabled.

To change a standard warning:

1. Go to **Admin**.
2. Select **Absence**.
3. Open **Warnings**.
4. Find the alert you want to change.
5. Select or clear the checkbox in the **Active** column.
6. Your changes are saved automatically.

## Create a custom warning

In addition to enabling and disabling standard warnings, you can create **custom warnings**.

You can use custom warnings when you need a separate warning for specific types of absence. For example, this may apply to internal guidelines for:

- time off in lieu
- special days off
- leave
- other absence codes for which the manager should receive additional information

To create a custom warning:

1. Go to **Admin - Absence - Warnings** and select the **Custom** tab.
2. Click the **plus icon** in the top-left corner.
3. Select the absence code to which the warning should apply.
4. Enter the threshold that should trigger the warning.
5. Enter the text to display in the **Warning text** field.
6. Save the warning.

### Example of a custom warning

For example, you can create a warning for **more than five days of time off in lieu**.

If the warning is configured this way, the warning text appears for the manager when:

- the absence code is **time off in lieu**
- the absence is for **six days or more**
- the manager approves a request or registers absence

The text you enter in the **Warning text** field is shown to the manager.

## Important information

The warnings provide support when registering and approving absence.

If a standard warning is enabled, Capitech Flow may notify you when absence exceeds standard thresholds or should be reviewed.

If a standard warning is disabled, it will not appear when absence is registered or approved.

Custom warnings appear when the absence meets the criteria you have configured, such as the selected absence code and number of days.
