Activate shift swap requests
What are shift swap requests?
Shift swap requests make it possible for employees to request shift swaps with each other in My Capitech.
When both employees have accepted the shift swap, the request is sent to a manager for approval in Capitech Flow.
If the manager approves the shift swap, the shifts are updated in the operational plan and in the employees’ calendars in My Capitech.
When is this suitable for you?
This is useful if you want employees to be able to:
- request shift swaps themselves
- handle shift swaps in My Capitech
- send shift swaps to a manager for approval
- reduce manual handling of shift swaps for managers and superusers
The feature is especially useful for organizations that actively use the operational plan and want shift swaps to go through a clear approval flow.
How to enable shift swap requests
- Go to Admin in Capitech Flow.
- Select Client settings.
- Go to the Plan tab.
- Find the setting for Enable swap requests from employees
- Activate the feature.
- Save the change.
When the feature has been activated, employees can use shift swaps in My Capitech
Important to know
Shift swap requests are not enabled by default.
This means that you need to turn on the feature if you want employees to be able to request shift swaps in My Capitech.
What happens after activation?
When shift swaps are activated:
- employees can request shift swaps in My Capitech
- the request moves forward when both employees have accepted the swap
- the manager can approve or reject the request in Capitech Flow
- the approved shift swap is updated in the operational plan
- the employees’ calendars in My Capitech are updated
