Deactivate employees

When an employee leaves your organization, you should deactivate them in the relevant Hours and Plan modules in Capitech Flow. Go to Admin > Employee > Employee, open the employee record, clear the relevant options under Personal, and click Save.

When should you deactivate an employee?

You should deactivate an employee when they should no longer use Capitech Flow, My Capitech, Hours, Absence, or Plan.

This may apply when the employee:

  • has left the organization
  • should no longer register time
  • should no longer be included in planning
  • should no longer have access to My Capitech

How to deactivate an employee

  1. Go to Admin > Employee > Employee.
  2. Click the employee you want to deactivate.
  3. Under the Personal tab, clear the options for the modules in which the employee should no longer be active.
  4. Click Save.

What happens when an employee is deactivated?

When the employee is deactivated in the relevant modules, they will no longer be active for those functions.

Historical data, such as previously registered hours, absence, and plans, is retained for reporting and historical records.
