Recalculate absence
What does it mean to recalculate absence?
Recalculating absence means that Capitech Flow calculates the absence entries again.
This may be necessary if the basis for the calculation has changed, such as the setup, absence codes, planned working time, or other data that affects the absence calculation.
When absence is recalculated, the system creates new daily transactions. Daily transactions are calculated rows for each day that show how the absence is processed in the system.
Where can you recalculate absence?
Go to Admin - Absence - Recalculate absence.
Here, you can view previous recalculation jobs.
By default, jobs from the last three months are displayed. You can view jobs from up to one year ago by changing the From date in the top-right corner.
You can also sort and filter using the column headings.
How to create a new recalculation
- Go to Admin - Absence - Recalculate absence.
- Click the plus icon in the top-left corner.
- Select a date range.
- Select the employees whose absence should be recalculated.
- Select the absence codes to recalculate.
- Review your selections.
- Click Execute.
When you click Execute, you receive confirmation that the job has been created. You are then returned to the overview.
The recalculation job runs in the background. You can continue working on other tasks in Capitech Flow while the recalculation is in progress.
Important about overridden absence transactions
When creating a recalculation, you can select Remove overridden rows.
This option determines what happens to manual changes made to the absence transactions.
If you do not select Remove overridden rows, manual changes to the absence daily transactions are retained.
If you select Remove overridden rows, overridden daily transactions may be removed and recalculated.
Use this option with caution if you have made manual changes to absence entries.
When should you recalculate absence?
Consider recalculating absence when:
- the absence does not appear to have been calculated correctly
- the basis for the absence calculation has changed
- absence codes or the setup have been adjusted
- planned working time was changed after the absence was registered
- Capitech has instructed you to run a recalculation
