Automation
What is automation?
Automation reduces manual work for managers, HR, payroll, and superusers.
For example, an automation job can:
- approve time entries that meet specific criteria
- generate time entries automatically
You can find the menu in Capitech Flow under:
Admin - Automation
Approval of time entries
Automation can approve time entries automatically when they meet the specified criteria.
This can be useful for time entries that do not normally require manual review, such as entries with specific time categories or entries that match the scheduled working hours.
General approval
General approval can be used when time entries should be assessed based on fixed criteria.
For example, the time entry may:
- contain only permitted time category types, such as regular hours
- contain only permitted time categories, such as fixed salary or hourly pay
- not contain specific time categories, such as certain types of overtime
Plan-based approval
Plan-based approval can be used when time entries should be assessed against scheduled shifts.
For example:
- hours worked must match the scheduled hours
- hours worked must be within a defined tolerance
- the start and end times of the time entry must match the start and end times of the shift within a defined tolerance
Plan-based approval can also use several of the same criteria as general approval.
Generating time entries
Automation can also generate time entries automatically.
This may be useful when you want the system to create time entries based on fixed rules or scheduled shifts.
General generation
General generation creates time entries based on the configuration in the automation job.
The automation job can determine:
- the times that the entries should cover
- the days on which the entries should be created
Plan-based generation
Plan-based generation creates time entries based on scheduled shifts in the operational plan.
The time entries can then be generated based on:
- the shifts in the operational plan
- the department and other dimensions associated with the shifts
