Future employee groups

You can use future employee groups when an employee is to change employee group from a specific date. This is set up on the employee card under Admin - Employee - Employee, on the Time tab.

What are future employee groups?

Future employee groups are used when an employee is to have a new employee group from a future date.

This is useful if an employee, for example, is to change:

  • from hourly wage to fixed salary
  • from one employment contract to another

Employee groups can be included in your organization’s setup for different calculations.

Where do you add a future employee group?

You add employee groups on the employee record

Go to:

Admin - Employee - Employee

Open the relevant employee and go to the tab Time

Here, you will find the Active and Future tabs under employee groups.

When do you use Active employee groups?

Use Active employee groups when the employee group should apply from the day you add it and onwards.

If the employee should continue with the same employee group, you do not need to enter a date.

The employee groups listed under Active employee groups when a calculation or process is run are the groups that are used. This also applies to retrospective registrations and registrations for future dates.

When do you use Future employee groups?

Use Future when the employee group should only apply from a future date.

You cannot enter a future Valid from date directly under Active employee groups. Instead, switch to the Future tab and add the employee group there.

Example: From hourly wage to fixed salary

If an employee is to change from hourly paid to fixed salary from 01.09, you can do the following:

  1. Add the current employee group, for example hourly paid, under Active employee groups.
  2. Set Valid to on the current employee group to the last day it should apply, 31.08.
  3. Go to the Future tab.
  4. Add the new employee group, for example fixed salary.
  5. Set Valid from to 01.09. Enter a Valid to date if the employee group should end on a specific date.
  6. Click Save.

The old employee group ends automatically, and the new employee group applies from the date you have specified.

What does Valid to mean?

Valid to is the last day the employee group membership applies.

Entering a Valid to date is optional. If you do not enter a date, the membership continues to apply.

If you enter a Valid to date, the membership ends automatically after that date.
