Client Settings - Custom Fields
You can find the setting here:
Admin → Client Settings → Custom Fields
What are custom fields?
Custom fields are fields that you can create and name yourself.
You can use them to store employee information that does not have a standard field in Capitech Flow.
Examples of custom fields include:
- shirt size
- shoe size
- allergies
- external ID number
Enable custom fields
To use custom fields, you must first enable Use custom fields for employees. You can find this setting under Admin → Client settings → Custom fields.
You can then enable the fields you want to use by selecting the checkbox in the Active column. Remember to click Save at the bottom of the page.
You can enable up to ten custom fields:
- up to five text fields
- up to five number fields
You can give each field its own name.
Text fields
Text fields are used when the value should be entered as text.
Examples include:
- allergies
- clothing size
- internal comments
- other information that should not be calculated as a number
Number fields
Number fields are used when the value should be a number.
For number fields, you can choose whether the field should support decimals.
Examples include:
- external ID number
- team number
- shoe size
If the field must support decimal numbers, enable Decimals for the field by ticking the box in the Decimals column.
Where do custom fields appear for employees?
When custom fields are enabled, they appear on the employee record under:
Admin → Employee → Employee
If you use up to three custom fields, they appear in the Personal tab together with the other employee information.
If you use four or more custom fields, they appear in a separate tab called Custom fields. This makes the employee record easier to navigate.
Add values to an employee
- Go to Admin → Employee → Employee.
- Open the employee.
- Go to the Personal or Custom fields tab.
- Enter values in the custom fields.
- Click Save.
Important to know
Custom fields apply to employees in Capitech Flow.
Use clear field names so that managers, HR staff, and administrators understand what each field is used for.
If you no longer need a field, consider the consequences before disabling it. Information previously entered in the field may become difficult to find.
