CAIA - Capitech AI guide

This article provides information and examples of how you can use Capitech AI to find and present information about hours, overtime, absence, and sick leave.

AI menu icon

When Capitech AI is enabled and you have access, a menu icon appears to the left of Dashboard in the menu bar. Click the graph icon to open Capitech AI.

Ask questions and get answers

Simply enter a question about hours or absence. The AI agent will retrieve and present the data relevant to your question.

Current data sources

The AI agent can currently retrieve data from the following sources:

Hours

All hours worked, including regular hours, overtime, and compensation.

Absence

All registered absence, including calculated and paid hours, whether the absence is work-related, and the type of absence.

  • Child illness / Vacation / Time off in lieu / Leave / Temporary layoff
  • Sick leave / Self-certified absence / Certified sick leave
  • Other absence

Ask and get answers
You can simply type questions about hours or absence, and the AI agent will retrieve and present data for what you ask about.

Upcoming data sources

We will continue to expand the solution to support more data sources, including:

Sick leave statistics

This feature is highly requested and therefore prioritized. It will make it easy to ask about your organization’s overall sick leave rate or, for example, the rate by department, grouped by month, quarter, or year.

Planned hours and shifts

This will make it easy to see how many hours or shifts have been planned, for example, by department or project for upcoming periods.

These data sources are not currently supported but will be included in future updates to Capitech AI.

Example questions

Several examples are shown in green text below the message field. You can browse through additional pages of examples. To try an example question in the AI service, simply click it.

Chart and table

You will normally receive an answer containing both a chart and a table. You can choose which departments to show or hide in the chart. The following example shows hours by department per month.

Time periods

If you do not specify a time period in your question, the year to date is used by default. Simply include the required period in your question. Examples include:

This year | Last year | 2025 | Last 24 months

This month | Previous month | May | This quarter

Hours | Absence | Sick leave

You can ask questions and retrieve data from a selection of sources:

  • Hours - Retrieves hours, overtime, and compensation
  • Absence - Retrieves absence data
  • Sick leave - Retrieves only sick leave data, including self-certified and certified sick lea

Grouping

You can easily group the requested data by including terms such as “by department” or “by project” in your question. Most dimensions in Capitech are supported:

  • Department and task
  • Project and subproject
  • Order
  • Free dimension 1 (use your organization’s name for Free dimension 1)
  • Free dimension 2 (use your organization’s name for Free dimension 2)
  • Shift
  • Competence
  • Location (hours only)
  • Time category
  • Employee

For absence data, the following additional groupings are supported:

  • Type, containing the following standardized types:
    • Other absence
    • Self-certified absence
    • Certified sick leave
    • Child illness
    • Vacation
    • Time off in lieu
    • Leave
    • Temporary layoff
  • Work-related
  • Absence code

Filtering

You can request only data matching a specific filter by including it in your question. For example:

  • Hours per month for the Warehouse department
  • Hours per month for department 20
  • Hours per week this year for Trine Olsen and Kenneth Berg
  • Hours per month for employee 206 during the last 24 months
  • Absence by type for the Bergheim project
  • Absence by type for projects 10005 and 1080

You can specify a filter using either the name or number of a department, project, or another dimension, as shown in the examples above.

Table

The table view shows all retrieved data and provides several options through the icons at the top.

  • Columns - Add or remove columns
  • Filter - Apply filters to limit what you see in the table and export to a file
  • Export - Download the data as a CSV file for further work in applications such as Excel
  • Search - Search and automatically filter content across all columns
