Operational Plan
What is an operational plan?
The operational plan is the actual work schedule in Capitech Flow.
It contains:
- shifts from shift rotations that have been rolled out
- shifts that have been directly entered into the operational plan
- planned working hours
- employees on shift
- open shifts
- absences
- substitute needs
The operational plan provides an overview of daily operations and is used to monitor staffing day by day.
What is the operational plan used for?
You use the operational plan to view and manage scheduled work in daily operations.
The operational plan is used, among other things, to:
- see who is scheduled for work
- see which shifts are available
- monitor absences
- see the need for substitutes
- move or change shifts
- enter short-term changes
- verify planned working hours
- ensure the correct basis for hours and absence
Where do the shifts in the operational plan come from?
Shifts in the operational plan can come from two places:
Source | Explanation |
|---|---|
Shift rotations | Shifts from shift rotations that have been rolled out to the operational plan. |
Direct registration in operational plan | Shifts that have been manually entered directly into the operational plan. |
The operational plan is shared across Flow
The operational plan is a common overview for all users in your solution.
You can filter and group the plan to get a better overview, for example by:
- department
- project
- employee
- other relevant dimensions
This makes it easier to work with the correct part of the plan, even if the operational plan contains shifts for many employees or departments.
Why is the operational plan important for hours and absence?
The operational plan is important because planned shifts can be used as a basis for registering hours and absence.
When the operational plan is updated, employees and managers receive better suggestions during registration. This makes it easier to register correct working hours and correct absence.
If the operational plan is not updated, hours and absence may be incorrect or incomplete.
Make short-term changes in the operational plan
The operational plan is the tool you use in daily operations.
Short-term changes should be made directly in the operational plan. This applies, for example, if:
- an employee swaps shifts
- an employee temporarily works in another department
- an employee's working hours are changed
- you need a substitute
- an absence occurs
- an available shift needs to be assigned
- the plan needs to be adapted to the current operational situation
Make changes continuously, preferably daily or weekly, so that the plan matches actual operations.
When should you use shift rotations instead?
Use shift rotations when you need to plan fixed patterns, shift schedules, or rotations that repeat over time.
Use operational plan when you need to manage ongoing changes in actual operations.
Use shift rotations when | Use operational plan when |
|---|---|
You create fixed shift schedules | You make daily changes |
You plan rotations | You move shifts short-term |
You need to roll out many shifts | You manage absences and substitute needs |
The change applies long-term | The change applies for one day or a short period |
