Recalculate hours

You can recalculate hours when existing time registrations need to be calculated again, for example after retroactive changes to calculation rules. You can find Recalculate time under Admin - Time - Recalculate time.

When can you use recalculation?

You can use recalculation when you want to recalculate existing time registrations for a specific period.

An example could be a change in the collective agreement with retroactive effect.

This can save a significant amount of manual work if many registrations need to be recalculated.

Important before recalculating

Be aware that recalculation deletes and recalculates the hours. This means that the hours may change.

Any existing approval is also revoked during recalculation.

You should therefore use recalculation on existing registrations with caution. After recalculation, check the hours for the recalculated period.

Hours, overtime and other compensations that have been overridden by a user in Flow, will not be changed when recalculating.

Recalculate multiple time registrations at once

If changes have been made to your setup, such as updated calculation rules, you can easily recalculate multiple time registrations at the same time.

Here's how to do it:

  1. Go to Admin - Time - Recalculate time.
  2. Select a start date and an end date.
  3. Select the employees whose hours you want to recalculate in the Click here to select employee box.
  4. Click the green Execute button.

When you click Execute, the recalculation starts. The registrations are updated automatically, and you will receive a confirmation when the recalculation is complete.

Recalculate individual time registrations

If you only need to recalculate a few registrations, you can do this directly from Hours.

Here's how to do it:

  1. Go to Hours.
  2. Find the time registration you want to recalculate.
  3. Click the three dots to the left of the registration.
  4. Click the pencil icon to edit the registration.
  5. Click Save, without making any changes.

When you save the registration, it is recalculated.
