Changes to shift rotations after rollout

If a shift rotation has already been rolled out to the operational plan, you can either extend the rollout or roll back the latest rollout before making changes. Always select the correct start week in the shift rotation, and avoid rolling back to dates that have already passed.

When does this apply?

This applies when you have a shift rotation that has already been put into operation, and you need to:

  • extend the period the shift rotation has been rolled out for
  • make changes to the shift rotation after it has been rolled out
  • end an existing rollout earlier
  • roll out the shift rotation again from a new date

Extend rollout of a shift rotation

When you extend a rollout, you add a new rollout period for the same shift rotation.

Here's how to do it:

  1. Go to Plan.
  2. Select Shift rotations.
  3. Find the shift rotation you want to extend.
  4. Click the three dots to the left of the shift rotation.
  5. Click the calendar icon.
  6. Select the period the shift rotation should be rolled out for.
  7. Select the correct start week in the shift rotation.
  8. Start the rollout.

When the rollout is complete, the shift rotation gets the status Operational, and the shifts are shown in the operational plan.

Select the correct start week

When you extend a rollout, you must select the correct start week.

Important:
Start week means the week number in the shift rotation, not the calendar week.

If you are unsure, you should open the shift rotation and check which week in the shift rotation should be the first week in the new rollout.

Then select this week number as start week.

The new rollout must start after the previous rollout

A new rollout of the same shift rotation must start after the last rollout date of the previous rollout.

Example:

If the previous rollout ends on 30.06, the next rollout can start on 01.07.

This ensures that the rollouts do not overlap.

Roll back to make changes

If you need to make changes to a shift rotation that has already been rolled out, you can roll back the latest rollout.

Use this when you first need to shorten or end an existing rollout, make changes to the shift rotation, and then roll it out again from the next date.

Important before you roll back

You should only roll back to tomorrow at the earliest.

Do not roll back to dates that have already passed. If you roll back to the past, you may lose history and overview of previous rollouts.

Recommendation:
Do not set the to-date back to before today's date.

How to roll back the latest rollout

  1. Find the shift rotation that needs to be changed.
  2. Find the latest rollout made for the shift rotation.
  3. Click the three dots to the left of the rollout.
  4. Click the pencil icon.
  5. Enter the new to-date for the rollout.
  6. Click Change.

The last rollout will then be shortened and saved.

Make changes to the shift rotation

Once the last rollout is shortened, you can open the base plan and make necessary changes.

This may include:

  • adding employees
  • removing employees
  • changing shifts
  • adding new shifts
  • adjusting existing shifts
  • changing dimensions such as department or project

Redeploy the shift rotation after changes

Once the changes are made, you can roll out the shift rotation again.

Here's how to do it:

  1. Go back to the shift rotation.
  2. Click the three dots to the left of the shift rotation.
  3. Click the calendar icon.
  4. Select the new rollout period.
  5. Select the correct start week in the shift rotation.
  6. Click Make Operational.

The new rollout should start the day after the previous rollout ended.

Example:

If the previous rollout now ends on 30.06, start the new rollout from 01.07.

What happens after a new deployment?

When the new rollout is complete:

  • the shift rotation gets the status Operational
  • the new rollout is shown on the shift rotation
  • the shifts from the shift rotation are added to the operational plan
  • the operational plan is updated from the new rollout period

How long does it take for a new rollout?

Rollout can take from a few seconds to a few minutes.

The time depends on:

  • how many employees are included in the shift rotation
  • how many shifts should be rolled out
  • how long the shift rotation is rolled out for
