Employee from Simployer does not appear in Capitech Flow
Who does this apply to?
This article applies to organizations that use Simployer Personalregister or Simployer Classic personalregister as the source of master data for employees.
This means that employees must be created and maintained in Simployer, not directly in Capitech Flow.
Once the integration has been set up, employees are automatically transferred from Simployer to Capitech Flow if the necessary requirements are met.
Requirements in Simployer
First, check that the employee has:
- an employee number
- a first name and last name
- active employment
- a department assignment
- an assignment to the correct legal entity
The employee number must be registered in Simployer for the synchronization to work.
Employee number requirements
The employee number must:
- be available in Capitech Flow
- not contain letters
- not contain special characters
The employee number should not be changed after the employment record has been created.
If you use payroll export, the employee number must match in Simployer, Capitech Flow, and the payroll system.
Department requirements
The employee must be assigned to a department in Simployer.
The department must have a department number in Simployer. If you synchronize departments, the same department number must also exist in Capitech Flow.
The department itself is not synchronized and must therefore be created manually in both Capitech and Simployer.
Department number requirements
The department number should:
- be unique
- contain only numbers, with no letters or special characters
- not start with 0
All relevant levels in the organizational structure should have a department number. This applies to legal entities, departments, and subdepartments.
Why is the employee not transferred to Capitech Flow?
The employee will usually not be synchronized if one or more of the following requirements are not met:
- the legal entity in Simployer is not linked to a client in Capitech Flow
- the employee does not have an employee number in Simployer
- the employee number already exists in Capitech Flow
- the employee is not assigned to a department in Simployer
- the department does not have a department number in Simployer
- the department does not exist in Capitech Flow
Should employees be created directly in Capitech Flow?
No. If you have an employee integration with Simployer, employees must be created in Simployer.
In Capitech Flow, you should normally only activate employees and complete their details after they have been synchronized.
